Picton Castle Operations Assistant (18-month term)
Picton Castle is a sail training tall ship best known for extended international voyages to exotic ports and islands. Trainee crew, who require no previous sailing experience before signing on, join the ship for an adventure at sea and to learn seamanship skills while working together under the guidance of the professional crew to sail the ship. We also operate the Bosun School, a land-based skills enhancement program in Lunenburg for ambitious young mariners.
We are currently seeking an Operations Assistant, a land-based position, to join the shore crew at Picton Castle’s office in Lunenburg, Nova Scotia and work full time (approximately 35-40 hours per week, weekday daytime hours, with occasional evening or weekend work required) for an 18-month term, providing operational and administrative support. Start date is mid-November.
Responsibilities:
- Communicate with prospective and current trainee crew members and students
- Request, collect, review and file all crew and student paperwork
- Maintain crew lists in Excel
- Prepare travel documents for arriving crew
- Book travel arrangements for staff
- Conduct sales and create invoices
- Accounts receivable/payable
- Customer service; assist customers with questions and sales inquiries
- Administer petty cash and credit card statements
- Update website in WordPress
- Prepare newsletters in iContact
- Design advertisements, posters, brochures, flyers, social media graphics, etc. for print and online
- Design and order branded t-shirts, hats, postcards and other merchandise, and maintain inventory
- Manage credit card machine, computers, printers and other office equipment
- Assist with marketing by sending out press releases, researching publications and websites, monitoring social media
- Prepare financial records for bookkeeper and accountant
- General administrative duties including paper and digital filing, checking voicemail, returning calls, ordering office supplies, administrative support to other staff
- Occasional on-site support for special events
Requirements:
- Strong written and verbal communication skills
- Excellent interpersonal skills
- Proficiency with computers, especially Microsoft Office, including Outlook, Word and Excel
- Proficiency with WordPress and email newsletter software (or willingness to learn)
- Proficiency with Canva, Publisher, or other graphic design tools
- Working knowledge of Facebook, Instagram, Twitter and LinkedIn
- Strong organizational, problem solving, research, and critical thinking skills
- Ability to multi-task and manage multiple priorities
- Skills in sales and marketing
- Customer service skills
- Occasional heavy lifting
- Occasional availability on evening/weekends (usually around the time of ship or crew arrival/departure or special events)
- Eligible to work in Canada
